Record a note
Open BeaconNote, tap the record button, speak, and tap stop. Your words become a note on your iPhone. You don't need an account. The recording keeps going if the screen locks, and the Lock Screen shows that you're recording.
You can also start a note from the Home Screen widget, from Control Center (iOS 18 or later), or by asking Siri: "Dictate a note in BeaconNote".
To type instead, tap New note at the top of the Notes tab.
If BeaconNote can't hear you
BeaconNote needs your permission to use the microphone. Open the iPhone Settings app, find BeaconNote (under Apps on iOS 18 and later), and turn Microphone on. Then come back and record again. If you tapped Don't Allow before, iOS won't ask again until you turn the switch on.
If BeaconNote heard nothing, it doesn't save an empty note. Move a little closer to your iPhone and try again. You can always type a note instead.
How transcription works
Your speech is turned into text on your iPhone. Your audio is never uploaded, and BeaconNote doesn't save it. BeaconNote uses a speech model built into the app, or Apple's on-device speech engine on iOS 26 or later when your language is installed. Nothing is downloaded when you record.
BeaconNote listens in your iPhone's language. To change it, go to More, then Settings, then Language, which opens the iPhone Settings app.
Summaries
Open a note and tap Summarize. On iPhones with Apple Intelligence, a short summary, key points, and suggested action items are written on your iPhone. To summarize every voice note on its own, turn on "Summarize voice notes automatically" in More, then Settings.
If the button isn't available, the app tells you why, for example that Apple Intelligence is off or that this iPhone can't run it. Summaries need iOS 26 or later on an iPhone that supports Apple Intelligence.
Summaries can be wrong, so check them before you rely on them. A suggested action item is added only when you tap Add. "Cleaned up" shows your note without filler words. Your original note is never changed.
Action items and people
Add an action item in the Action items tab, or from any note with "Add action item". Give it an owner and a due date if you like, and mark it done when it's finished.
Add the people you work with in the People tab. A person is just a name and, if you want, an email address. BeaconNote doesn't read your Contacts. The People tab shows what each person still owes.
To share action items, use the share button in Action items, or Copy on a summary. Email opens a draft in your own mail app, and you decide whether to send it.
Find, export, and share
Search from the top of the Notes tab. To share or export a note, open it and use the menu: you can share it as Markdown or plain text, or copy the text.
Sync with the web
An account is optional. It keeps your notes in sync between your iPhone and https://beaconfrontier.com/note/en.
1. On your iPhone, go to More, then Account and sync, and tap Sign in with Apple, or use "Use email instead" to get a 6-digit code by email. 2. Tap Turn on sync. 3. Save your recovery key somewhere safe, such as your password manager. It is shown only once.
Your notes are end-to-end encrypted on your device before they're uploaded. We can't read them, and we can't recover them without your recovery key.
The website signs in with an email code. If you signed up on your iPhone with Sign in with Apple, sign in on the website with the email address you shared with Apple. If you chose Hide My Email, that is your private relay address.
To use another device, sign in there and enter your recovery key. If you've lost your recovery key, sign in on a device that still has your notes. If you've lost it and every signed-in device, Reset sync starts again from the notes on the device you're holding.
Sign out
Go to More, then Account and sync, then Sign out. You choose whether to keep a copy of your notes on this iPhone. If you remove them, any change that hasn't synced yet is lost, and the app tells you first.
You can also sign out other devices from the list of signed-in devices.
Privacy settings
- Share anonymous usage counts (More, then Settings): on by default. Counts are steps such as "a note was saved", never your words. Turn it off and nothing more is sent.
- Show note text in widgets (More, then Settings): on by default. Turn it off and widgets show only counts.
The Privacy Policy has the details.
Export and delete
One note. Open the note and share or export it, or swipe left on it in the list to delete it. You can undo a delete from the banner for a few seconds.
Your account. Go to More, then Account and sync, then Delete account, and choose whether to keep your notes on this iPhone. If you signed in more than a few minutes ago, you'll then be asked to confirm it's you. Your account, every synced note, and your keys are deleted from our server right away. This can't be undone. On the website, the same button is on the Account page.
The app. Deleting the BeaconNote app deletes your notes on that iPhone. It doesn't delete your account. Delete your account first if you want your synced notes gone too. If you install BeaconNote again, it starts signed out.
The website. Sign out and choose to remove your notes from the browser, or clear the site data for beaconfrontier.com. Your account stays until you delete it.
If you can't delete your account yourself, email help@beaconfrontier.com from the address on the account and we'll do it for you.
